Automations for HVAC

Marketing gets you the call. This is everything that happens after — and it’s where most contractors lose more money than they lose on ads.

Every other page on this site is about getting the phone to ring. This one is about what happens when it does, and what happens when it doesn’t.

Because the leaks after the call are bigger and cheaper to fix than almost anything upstream. The call at 8:40pm that went to voicemail. The estimate you wrote in April that nobody ever followed up. Four hundred past customers who haven’t heard from you in three years.

None of that requires ranking for anything. It’s all money already in the building.

After the call

The four leaks

The call you didn’t answer

A homeowner with no heat isn’t leaving a voicemail. They’re dialling the next name. You never find out it happened, so it never registers as a lost job.

AI Receptionist

The lead you answered too slowly

Whoever responds first usually wins by default, and inside Local Services Ads response speed is scored — so being slow doesn’t just cost that job, it raises the price of every future lead.

Follow-Up Campaigns

The quote you never chased

You drove out, climbed in the attic, wrote it up, sent it. Then nothing, from either side. It’s the most expensive lead you’ll ever produce and the one most often abandoned.

Follow-Up Campaigns

The customers you already have

Hundreds of people who paid you and were happy. Their systems are older now. They’ve heard nothing from you since.

Sequencing

Why we often turn this on first

SEO takes about three months. Ads take a few weeks to tune. Automation produces inside the first fortnight, because it isn’t looking for new people — it’s catching the ones already reaching you and going back to the ones who already did.

If you’re trying a marketing company for the first time and want to see something happen before you’ve committed a season to it, this is the part that moves first.

The services

What sits under this

AI Receptionist

Answers when you can’t — after hours, weekends, mid-job, or when the line’s busy. Qualifies the caller, triages urgency, escalates real emergencies to a human immediately, screens spam, and books or captures the callback. Also what makes 24/7 hours on your Google profile honest, which matters because being open at the time of search is one of the cheapest ranking wins available.

The rule we apply to all of it

Automation should never be the reason someone gets a worse experience

Every sequence stops the moment a human replies. The receptionist never claims to be a person. Emergencies go to a human immediately rather than into a queue. Nobody gets messaged forever because they didn’t respond fast enough.

If automation makes your customer feel processed rather than served, it’s cost you more than it saved — and in a trade where reputation is the ranking lever, that’s a real financial argument, not just a nice sentiment.

Worth knowing up front

The consent constraint

Anything that sends a text message has real legal teeth.

Automated texting requires consent captured on a form built for it: unchecked by default, optional, disclosure visible above the submit button. Statutory damages run $500 to $1,500 per text. Carriers also require a live privacy policy and terms page before they’ll approve an SMS campaign at all.

Practically: we can’t run text automation off a form we didn’t build. Your existing form almost certainly doesn’t carry compliant consent. Voice and email we can start with immediately; texting needs the website first.

That’s a sequencing constraint, not a sales tactic. The exposure is per message and lands on you.

Proof

How you’ll know it’s working

Automation is the most verifiable thing we do, because the outputs are recordings and replies rather than metrics.

You get call recordings and transcripts on everything the receptionist handles. Every reply to a sequence lands with you directly. Every campaign carries a tracked number or link so bookings tie back to what produced them.

Month one usually surprises people: most owners have no idea how many calls arrive outside their hours, because those calls were previously invisible.

We record your current missed-call volume, quote close rate and list activity before switching anything on.

Why Talos

Five reasons

One client per market

One HVAC company per market. We fight your competition, not build it.

It never pretends to be human

The receptionist never claims to be a person, and it won’t lie if asked.

Everything is recorded

Audit every call and every message rather than trusting a summary.

Your lists and recordings stay yours

Exportable any time.

60 days, or your money back

If we haven’t earned our fee, ask and you get it back — and this is the part of the stack most likely to have earned it inside the window.

FAQ

Straight answers

Usually the receptionist and reactivation. One stops the leak, the other produces revenue immediately.

On calls, some will, and it won’t lie if asked. On follow-up, the messages are short and written in your voice, and any reply hands it straight to a human.

For voice and email, no. For anything that sends a text, yes — carriers and consent rules require it.

No. It covers the hours and moments they can’t, and it does the follow-up that always falls off the end of the day.

Days to weeks, which is why it’s often the first thing we turn on.

Call your own business at 9pm and listen to what a customer with no heat hears

Then count the estimates you wrote in the last ninety days that never got a yes or a no. We’ll send you a free audit covering your after-hours coverage, your response times, your quote follow-up and what’s sitting in your customer list. Yours to keep either way.
